Approval Process

The approval process ensures that flowcharts are reviewed, modified if necessary, and approved before final implementation. Users can submit flowcharts to supervisors, who can either approve them, request changes, or reject them. AI-assisted modifications, and structured feedback to ensure clarity and compliance with business workflows.


Steps in the Approval Process


1. Submitting for Approval

  • Once the flowchart is finalized and saved, users can submit it to a supervisor for review.
  • Clicking “Submit for Approval” notifies the supervisor and logs the current version of the flowchart.

2. Supervisor Actions

After reviewing the submitted flowchart, the supervisor can take one of the following actions:


Approval
  • If the flowchart meets all requirements, the supervisor approves it.
  • The flowchart status changes to “Approved”.
  • AI sends a confirmation message to the user in the chat.
Change Request
  • If modifications are needed, the supervisor submits a change request with comments.
  • The flowchart status changes to “Change Request”.
  • AI sends a confirmation message and generates suggested modifications based on feedback.
  • The user can either:
    • Apply the AI-generated suggestions.
    • Manually update the flowchart and resubmit.
  • A new version is created upon resubmission.
Rejection
  • If the flowchart does not meet the necessary criteria, the supervisor rejects it.
  • AI sends a confirmation message to the user in the chat.
  • The status changes to “Rejected”, and the flowchart cannot be resubmitted.
  • The supervisor provides reasons for rejection, which the AI notifies in the chat.

3. Version Control in Approval Process

  • Each submitted flowchart is linked to a version number.
  • When changes are requested, a new version is created.
  • Users can switch between versions for reference and comparison.

4. Notifications and Tracking

  • AI notifications inform users about approval status, change requests, and rejections in the chat.
  • Users can track their flowchart status from the sidebar and “Documents” page.
  • Approval decisions and comments are logged for future reference.
